So, what exactly does a proof reader do? In simple terms, your job as a proof reader is to scrutinize written text catching errors that the people before you (i.e. writers, copywriters, and typesetters) have missed. As a proof reader you will be responsible for finding and fixing the following:
Titles
You will want to make sure a headline matches up with the text that follows. Headline formatting will also need to be double checked. Missed errors in a headline do not bode well for your success as a proof reader.
Alignment
Make sure that all of the elements on a page that are meant to be lined up are in the correct place; these being margins, indentations, bulleted lists, etc.
Alphabetizing Lists
You will confirm that alphabetized lists are indeed in alphabetical order.
Captions
The captions under illustrations and photos are very often overlooked by copywriters. Their intention is to go back and re-read captions but in many cases forget to do so. You will soon learn captions are a goldmine when it comes to things that need to be corrected.
Columns
At first glance, columns may look like they are lined up perfectly; but columns can be tricky. As a proof reader you will confirm that the column measurements are exact and the text within the columns is formatted correctly.
Dates
In the cases were the day of the week is mentioned along with a date, you will confirm this information is correct by referencing a calendar. Dates and days of the week are often overlooked and incorrect.
Numbers
When the piece contains many numbers, often these figures are incorrect. You will need to review numbers carefully; especially when they are associated with dollar signs.
Names and Spelling
You will always double check the spelling of personal names, organizations, places, etc. This is a simple process with the internet; the correct spellings will be right there at your finger tips.
Your goal as a proof reader is to keep the elements listed above consistent with the style sheet created by the copywriter. The style sheet is a printed document that shows how particular parts of language are to be written for this document.
